DOT Guidelines for MICE Organizers, venues and third party suppliers.

Department of Tourism (DOT) presented the health and safety guidelines for MICE organizers, venue facilities and third party suppliers.

 

The guidelines calls to all parties involved for the completion of health declaration forms, implementation of the policy “No Face Mask, No Entry” for all guests and participants, body temperature checks at the entrance of venue by trained personnel, keep social distance, supply with solution alcohol or alcohol-based hand sanitizers and Health Safety Reminders shall be installed in visible areas.

 

Here some important points that you should know:

 

Venue Facilities:

  • The total number of participants shall be limited to 50% of the maximum venue capacity.
  • MICE facilities should implement physical distancing measures, cleaning, sanitation, disinfection and ventilation of all areas of the venues.
  • Room seating arrangements, at least one meter between participants during the event, including during meals and other interactions and activities. Depending of the conference set-up and break out rooms, distance of one to two meters between seats and a maximum of two pax at each 6 ft
  • Directional signages, floor markings and ushering shall also be provided to create a logical traffic flow and avoid bottlenecks.
  • Venue Operators should submit a Safety and Sanitation Plan covering pre-event, event proper and post-event safety and sanitary measures.

 

MICE Organizers:

  • MICE organizers are required to formulate an emergency preparedness plan for the prevention of the spread of infection at the event. Including a comprehensive documentation of contact details of all MICE organizers, suppliers, exhibitors and all other participants at the event to be shared with local public and health authorities if any participant becomes ill with a suspected infectious disease.
  • Designate an isolation room or area where persons who feel unwell at the event may be brought to before referral to the doctor on duty, to the nearest hospital, or to the Barangay Health Emergency Response Team. Those with body temperature exceeding 37.5 degrees Celsius and those exhibiting flu-like symptoms shall be refused admission.
  • The protocols encourage to maximize the use of online tools and technology to be more practical, promote less physical contact and minimize gadget handling and physical transfer of materials. For example, cashless method of payment, QR Codes for registration, etc.
  • Exhibit layouts are required to have wider aisles (recommendable size 3m).

 

Third party suppliers:

  • Food and Beverage Services or Caterers
    • Pre-packed individual meals and drinks shall be the standard means of food packaging throughout the duration of the event.
    • Buffet service is no longer available and self-service is prohibited.
  • Supply Handling
    • Suppliers shall sanitize all equipment and materials (e.g. booths, booth shells, lifting and setup equipment, and all other miscellaneous supplies prior to unloading at the loading bay or delivery to the venue).
    • Customized booths shall be 70% complete prior to ingress to minimize working time inside the venue.
  • Exhibition Booth Set-up
    • Booths 3m x 3m, aisle 3m with the addition of two-way traffic, recommendable 2m for one-way traffic.
    • Maximum of two pax per booth to accommodate one guest per 9 sqm booth at the time.

 

The protocols apply for those areas under modified general community quarantine (MGCQ) for guidance and strict compliance. Any violation may subject to fines and penalties including revocation of the DOT accreditation.

The first ever MICECON goes online this year. The Philippine MICE Conference is the biggest and most anticipated event for the industry. Organized by the Department of Tourism (DOT) and Tourism Promotions Board (TPB) for professionals, stakeholders and tourism practitioners in the country.

 

Less remember that Davao City won the bid as a host destination for the MICECON 2020 conference, as a result of the pandemic this event will be reschedule to a later date but the dates for MICECONline has been announced for October 26-30, 2020.

The Philippine Travel Survey 2020

The Department of Tourism Philippines in partnership with Guide To The Philippines (GTTP) and Asian Institute of Management (AIM) published the summary and analysis of the “The Philippine Travel Survey Report: Insights on Filipino Travelers’ Sentiments on the New Normal”, the report focus to help Tourism enterprises and stakeholders understand the domestic travelers behavior in order to build strategies, adapt products and services, plan for the future and collaborate with stakeholders.

 

Total of 12,732 Filipino travelers and foreign residents of the Philippines answered the survey with respondents from 81 provinces.

Normally, an individual spend approximately P3,000-P6,000 for 2-3 day leisure trip, the domestic travel is in groups of 2-5 pax either with family, friends or coworkers.

 

Key Insights of the survey:

  1. Domestic leisure travel will lead Philippine Tourism recovery.
  2. Majority of travelers expect a reduction in income and travel budget.
  3. Health and safety is the primary concern of the travelers.
  4. Travelers prefer reduced contact activities once leisure travel restrictions are lifted.
  5. Travelers prefer online and digital channels for convenience and contact reduction.
  6. Travelers plan to travel closer to home.

 

Top Ten Domestic Destinations plan on visiting first once leisure travels restrictions are lifted:

 

  1. Boracay (13.70%)
  2. Siargao (9.21%)
  3. Baguio (9.21%)
  4. Metro Manila (8.50%)
  5. Cebu (7.17%)
  6. El Nido (6.75%)
  7. Coron (6.28%)
  8. Batangas (5.49%)
  9. Bohol (4.59%)
  10. La Union (4.20%)

 

Local tourism and domestic travel are fundamental for the recovery of the Philippine Travel and Tourism. Travelers have shown a preference for traveling to destinations closer to their place of residence once restrictions are lifted but health and safety are a top priority.

Safe Travels

The World Travel & Tourism Council (WTTC) has created the world first global stamp ‘Safe Travels’ protocols around the world for use as best practice guidelines to help restart the recovery of the Travel and Tourism sector.

 

The stamp provides travelers and tourism stakeholders to recognize destinations and companies around the world that have implemented health and hygiene protocols that are aligned with the Safe Travels protocols providing consistency to ensure the safety of travelers, once restrictions are eased.

 

The protocols for hospitality, outdoor retail, aviation, airports, tour operators, and convention centers, meetings and events industry are available and under development the protocols for the rental industry, attractions, insurance, car rental and cruise.

 

The latest research from WTTC’s 2020 Economic Impact Report shows that during 2019 the Travel & Tourism sector generated 330 million jobs, 1 in 10 jobs around the world, making a 10.3% contribution to the global GDP.  Another good reason to implement the global protocols to restore confidence to travelers and reinforce the sector.

‘I M PEOPLE FOCUSED‘

The Thailand Convention and Exhibition Bureau (TCEB) has announced a new campaign ‘I M PEOPLE FOCUSED’ a way to create solutions for Incentive Travels and Meetings together with EASE UP, which is a collaborative financial grant.  EASE UP gives event organizers an access to an initial financial support of more than half a million USD from TCEB and equivalent value in complimentary products and services from participating partners.

 

MICE Industry in Thailand is one of the major branches of Tourism in Thailand, contributing 177.2 billion to the economy, accounting for 1.2% of overall Thailand GDP in 2018. 

 

TCEB has identified 5 major cities, Bangkok, Phuket, Chiang Mai, Khon Kaen and Pattaya which are perfect for every kind of event.

 

Based on 2019 Country and City Rankings by ICCA, Bangkok is positioned on thirteen place with 124 number of meetings per city.

 

Thailand is now ready to welcome business events back to the region in the brand new way of face to face connections.

IMEX 2020 is cancelled

IMEX is one of the most important events for our industry, bringing the global meetings together in one place, twice a year with IMEX Frankfurt in May and IMEX America in September. This year IMEX Frankfurt and IMEX America are cancelled due to the current situation and IMEX America would have celebrated its tenth anniversary this 2020. 

 

IMEX America 2019 in Las Vegas hosted 13,500 total participants, 3,426 hosted buyers from 68 countries and 3,500+ exhibitors from 155 countries. Proof that IMEX is the right place to meet great buyers.

 

In spite of that IMEX Group launched PlanetIMEX last May, a virtual platform for the community with educational programs at no cost and allowing visitors to network, explore content, connect and meet new people.

World Health Organization provides new guidelines for Mass Gatherings

Great news for our Event Industry as World Health Organization has provided updated guidelines for outdoor events and mass gatherings. The purpose of the document “Key planning recommendations for mass gatherings in the context of COVID-19” published on 29 May provides guidance to governments, health authorities and national or international organizers of mass gatherings on containing risk of COVID-19.

 

The document recommend changes to large event and encourage to address risks of any origin before planning and organizing events following the best practices on available evidence.

 

The risk assessment should be tailored to the events and undertaken by local and national public health authorities. The risk factors to assess are the key characteristics and areas to considerer e.g. venue (location, size/type, indoor/outdoor), guest profile (age, health status, provenance, international/local travel to event, etc.), event activities and duration of the event and last but not least the capacity of the host country’s health system to detect and manage cases of COVID-19 in terms of policies, resources, and capacities.

#SafeBusiness Project by IEG

Italian Exhibition Group launched a project for Italy’s Convention and Trade Show Industry focusing on every phrase for the Trade Show and Conferences in line with the Anti-COVID19 health regulations and documents drafted by AEFI, FEDERCONGRESSI, UFI and EMECA.

 

Here are some guidelines:

  1. Before the Trade Show: Ticket office and payments exclusively online, digital platform for planning appointments before the show, safe planning and management of all the outfitting supply chain.
  2. Entrance; Face mask distribution desk, multiple entrance with safety aisles and distancing signage, digital entry ticket and thermo scanners.
  3. Expo Centre: Trade Show App and signage with instructions on anti COVID-19, contactless payment systems, hand sanitizer dispensers, visitor flows will be monitored with centralized digital tracking and on-site controls by specialized stewards.
  4. Catering: Temperature checks for the workers, staff must wear gloves, face masks, payments app, barriers between tables and digital menus, coded delivery procedure.
  5. Services: Sanitized and equipped shuttle transport with hand sanitizer and fixed number of passengers between the airport, hotels and Expo Centre. Conference rooms and business centre with seating layout to guarantee social distancing and digitalized informative material.
  6. Accessibility: Reserved parking, internal lifts for the conference rooms, supply of assistance equipment like wheelchairs sanitized before and after been used, all the areas and facilities will be sanitized continuously.
  7. Special Actions: Crisis Management Protocol will be stablished, cycle of waste bin emptying and sanitization, medical room and isolation zone for possible suspected cases. Training and Information for Exhibitors and Visitors through the website, app and hospitality information offices.
  8. Events and Conferences: Temperature measurement at the entrance by specialized staff, monitored conference room, multi-media productions and live streaming to support events, App integrated with all the initiatives and instructions regarding COVID-19 and staff training on safety procedures and regulations,

 

The project have more than 50 guidelines providing a complete and reliable protocol protecting the health of companies and visitors.

KINTEX held the first exhibition in South Korea after COVID-19

 

The 53rd MBC Construction Expo held from May 8 to May 11, 2020, organized by Dong-A Exhibition Co. Ltd. at KINTEX in South Korea is the first exhibition held after COVID-19. MBC Construction Expo is a traditional event that showcases the latest products and trends in the architecture industry.

 

What is being done by the venue and the event organizers to prevent COVID-19?

To keep the Social Distance stickers were placed on the floor to keep the distance between the attendees at the entrance.

Temperature checks were performed before entering the exhibition hall along with facial recognition displays.

Booths had partitions in between and hand sanitizers.

Exhibitors are focusing on preventing COVID-19 with a face shield and face mask.

 

KINTEX is the largest exhibition and convention center located in Goyang City, Gyeonggi Province, Korea. With 108,566㎡ of exhibition space within KINTEX I and KINTEX II and 40 meeting rooms. The Convention Center host 1,100 MICE events every year including trade shows, international meetings and conferences.
